Serving, Postponing, and Cancelling a Patient

Steps in Serving a Patient

  1. Click the patient’s name
  2. Click the “Accommodate” button. 
NOTE: Users can choose the patient’s visit type as well as show the patient’s medical record summary per visit or per record when the button “Patient Records” is clicked.
  1. If the patient needs a follow up service: 
    • Select visit type as “Follow-Up”
    • The system will automatically determine the date of the patient’s last visit. 
  1. Choose service type that patient needs:
    • If the patient needs consultation:
      1. Click “consultation” 
      2. Input the patient’s chief complaint
      3. Select the service to be billed,
      4. Select queue details and attending  staff.
      5.  Input the patient’s vitals.
      6. Attach any necessary documents or photos. 
      7. Click create to finalize.
  1. If the patient needs a procedure:
    • Click “Procedure”.
    • Select patient’s procedure request and the procedure to undergo.
    • Select queueing details such as the attending staff and the corresponding queue. Click create to finalize.
  1. If the patient needs a diagnostic order for laboratory or imaging:
    • Select the needed diagnostic order respectively.
    • Select if the diagnostic service to be done is an in-house order or add a new order that was requested by a doctor from another clinic. 
    • Click add to finalize.
    • Select queue.
    • Click create to save.
  1. If the patient needs to see a Nurse/Therapist:
    • Select Nurse/Therapist
    • Enter additional notes.
    • Select queue details. 
    • Click create to finalize.
  1. If the patient is there for a PME service:
    • Select PME.
    • Select the patient’s PE package. 
      1. For walk-in PME patients, users can select from the clinic’s directory of PE packages.
      2. For group PME patients, the PE package field will automatically be pre-filled based on the PE package set for the group. 
  1. Arrange the queue trail by clicking the “arrange queue trail & send patient” button Users can choose to either: 
    • Drag and drop the arrangement of the patient’s queues.
    • Automatically balance the patient’s queues
    • Select the “For fasting” option which means the patient will be sent to the laboratory queue first.
    • Choose the “for kids” option which will send the patient to the laboratory queue last to ensure that the painless services go first.
  2. Click “send patient” to deck patient to the next queue
  3. Tick the checkbox “Pending payment/ HMO approval” to send patient to the cashier for payment before proceeding to the services proper.

Steps in Postponing and Cancelling a Patient

  1. To cancel a patient in queue simply click more options.
    • Click the “cancel” option.
    • Enter reason for cancellation
    • Click “Cancel to proceed”. 
  2. To postpone a patient in queue, select the “postpone” option.
    • Enter reason for postponement
    • Click “Cancel to proceed”. 
NOTE: Postponed patients can be found in the Postponed tab wherein users have the option to return them back in queue.
  1. To requeue patients from the Postponed tab, click the “bring back” option. 
    • Confirm the action.
  2. To cancel their postponement entirely, select the cancel option.
    • Enter reason for cancellation.
    • Confirm the action.
NOTE: Checked In patients who have a procedure order from their doctor can be served by the Front desk.

Steps in Serving Patients with Procedure Orders

  1. Go to Registration > Queues > Checked In
  2. Click the “more options” icon
  3. Select “Serve Now”.
NOTE: On the Checked In tab, users can view the active patients inside the clinic and their corresponding queues. Users also have the ability to see a patient’s queue trail by selecting the view queue trail option once the ellipses is clicked. There, they can transfer the patient from one queue to another, postpone the patient, or delete the queue entirely
